The comment that "Overseas employees had amazingly little information" at the second MOL College held in October 2006 triggered the MIP opening. Building an information sharing tool to serve the MOL Group all over the world across divisions and segments was the first ever attempt at such a comprehensive resource. The MIP Editorial Committee and administration and business divisions in the MOL Head Office discussed the information and content to be provided.
First, we posted positions and outlines of people responsible for various operations as well as portrait images in the shared address list, to enhance communication. Then, we posted the Corporate Principles, safe operation information, and more on the Main Portal, to ensure that all MOL Group employees are moving in the same direction. What's more, we created an individual-participation type function that gives users authority to access the folder of the organization they belong and upload files freely, making it easier to share information within divisions and the group.
Feeling Our Way Along
We learned by trial and error how to gather employee information from group companies that had not been managed in an integrated fashion and how we could quickly reflect the information such as "enter, transfer, retire" by giving IDs to individuals. So, we assigned a person called the group administrator to supervise and maintain this list. By giving IDs to all users, they all have authority to upload the information on the division they belong to, plus their e-mail addresses, portrait images, and telephone numbers.
Creating a Useful Portal Site
After the MIP was open, we created a manual for the group administrator and held briefing sessions in Tokyo and Osaka.
We continue working to enhance the skill of the group administrator, improve the quality of the content, and boost operational efficiency to make this portal a have-to-have resource for everyone in the MOL Group.
